Rogers Towers PA is Hiring an Office Services Coordinator Near Jacksonville, FL

Job Summary:
We are seeking a skilled Facility Coordinator to oversee the maintenance and operation of our facilities. The ideal candidate will be responsible for managing various aspects of building operations, ensuring a safe and efficient environment for employees and visitors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Work with the Facilities Manager to maintain and manage a task list to assist with office moves, maintenance requests and general facilities needs such as painting, hanging pictures, light bulb outages, filter replacements, etc. for home and satellite offices.

Communicate and coordinate with the Facilities Manager regarding any Firm events or special projects.

Assist with securing quotes for general contracting work needed on various projects.

Utilize personal vehicle to coordinate moves of office equipment and files with other departments or locations of the Firm.

Responsible for communicating facility issues with Facilities Manager and assisting where needed.

Assist when needed to perform various Firm related courier runs to satellite office locations, post office, courthouses, etc.

Responsible for document control and records management throughout the lifecycle of physical records.

Facilitate closed files to be picked up for off site storage.

Work with Facilities Manager to comply with all business protocol, regulatory requirements for best practices for records management.

Respond to all facility services emails and inquiries in a timely fashion and advises Facilities Manager of any issues or concerns.

Maintain current tracking of files though file tracking software and best practices.

Conduct audits of all external files being maintained by the Firm. This may require travel to other offices to conduct audit on location.

Assist with loading/unloading and delivering parcels, routing mail and various projects back to the requestors upon completion.

Coordinate reservations for conference rooms, common areas and kitchen.

Schedule may vary to reflect the business needs of the Firm.

Job Type: Full-time

Pay: $20.10 - $24.21 per hour

Expected hours: 40 per week
